As the Executive Assistant supporting both the CEO and CFO, you will ensure smooth operations and efficiency in their projects, schedules, and personal tasks. This role requires an organized, resourceful, and adaptable individual capable of handling complex tasks, anticipating needs, and providing proactive support across various activities for two senior executives. 

Essential Job Functions

Calendar and Schedule Management 

  • Manage the busy calendars of both the CEO and CFO, scheduling meetings, appointments, and events across potentially various time zones. 

  • Coordinate internal and external meetings, conference calls, and video conferences for both executives, ensuring optimal time management and attendance. 

Travel Planning and Arrangements 

  • Organize travel itineraries for both executives, including flights, accommodations, and ground transportation. 

  • Stay updated on travel preferences and frequent flyer programs for both executives to optimize travel experiences. 

Communication Coordination 

  • Handle incoming and outgoing communications on behalf of the CEO and CFO, including emails, phone calls, and written correspondence. 

  • Draft, edit, and proofread documents, presentations, and reports for internal and external stakeholders. Experience with Canva preferred. 

Information and Project Management 

  • Maintain confidential and sensitive information for both executives with utmost discretion. Assist with personal item management and coordination as needed. 

  • Research and compile data for various projects and reports, ensuring accuracy and timeliness. 

  • Serve as liason between staff and executives in accordance with fulfilling the company and executives' mission. 

Qualifications:  

  • Bachelor's degree in business administration, Management, Communications or related field (or equivalent work experience).  

  • 2-3 years' experience in administration or management support position required.  

  • Excellent organizational skills, able to manage multiple tasks and priorities effectively.  

  • Strong attention to detail and problem-solving abilities.  

  • Exceptional verbal and written communication skills.  

  • Proficient in office software, including Microsoft Office Suite and virtual meeting platforms.  

  • Ability to adapt to a fast-paced, dynamic virtual environment with a positive attitude. 

  • A high level of professionalism, integrity, and confidentiality.  

  • Flexibility to work outside regular hours when required.
