As the Executive Assistant, you will ensure smooth operations and efficiency in our executive's projects and schedule. This role requires an organized, resourceful, and adaptable individual capable of handling complex tasks, anticipating needs, and providing proactive support across various activities.  

Project Coordination: 

  • Coordinate launch and facilitation of executive's podcast. 

  • Oversee multiple software projects at once; Actionstep, Decisions Vault, Co-Pilot and others for clear communication and utilization across the office. 

  • Project manage the onboarding and training with IT company.  

  • Ongoing support for executive’s projects on a daily basis. 

Calendar and Schedule Management:  

  • Manage the executive's busy calendar, scheduling meetings, appointments, and events across potentially various time zones.  

  • Coordinate internal and external meetings, conference calls, and video conferences, ensuring optimal time management and attendance.  

Travel Arrangements:  

  • Organize occasional travel itineraries, including flights, accommodations, ground transportation, and visa arrangements.  

  • Stay updated on travel preferences and frequent flyer programs to optimize travel experiences.  

  • Communication and Correspondence:  

  • Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and written correspondence.  

  • Draft, edit, and proofread documents, presentations, and reports for internal and external stakeholders. Experience with Canva preferred. 

  • Information Management:  

  • Maintain confidential and sensitive information with utmost discretion.  

  • Research and compile data for various projects and reports, ensuring accuracy and timeliness.  

Qualifications:  

  • Bachelor's degree in Business Administration, Management, Communications or related field (or equivalent work experience).  

  • 2-3 years experience in administration or management support position required.  

  • Excellent organizational skills, able to manage multiple tasks and priorities effectively.  

  • Strong attention to detail and problem-solving abilities.  

  • Exceptional verbal and written communication skills.  

  • Proficient in office software, including Microsoft Office Suite and virtual meeting platforms.  

  • Ability to adapt to a fast-paced, dynamic virtual environment with a positive attitude.  

  • A high level of professionalism, integrity, and confidentiality.  

  • Flexibility to work outside regular hours when required.
