The primary focus will be coordinating all IT and software functions of the business to ensure efficient training, onboarding, and utilization. You will oversee multiple software projects such as Actionstep, Decisions Vault, Co-Pilot and be the direct point of contact with the firm's IT company, fostering clear communication and optimal use across all users and systems. 

This role requires an organized, resourceful, and adaptable individual capable of handling complex tasks, anticipating needs, and providing proactive support across various activities.  

Essential Job Functions 

Project Coordination: 

  • Oversee multiple software projects at once; Actionstep, Decisions Vault, Co-Pilot and others for clear communication and utilization across the office. 

  • Lead the onboarding and training with IT company.  

  • Enhancing team productivity and optimizing workflow through expert use of collaboration tools and techniques.
  • Consult with legal services teams to effectively develop and apply technical strategies, requirements and goals in order to develop and implement project plans.

Information Management:  

  • Maintain confidential and sensitive information with utmost discretion.  

  • Research and compile data for various projects and reports, ensuring accuracy and timeliness.  

  • Identify potential risks in the IT and software functions and develop proactive strategies to mitigate risk. 

  • Stay ahead of industry trends and concepts. 

General:

  • Be primary point of contact for staff in troubleshooting IT and software issues. 
  • Provides day-to-day support of software technologies.
  • Oversee computer management in conjunction with the firm's IT provider to monitor and optimize all computing devices for performance, availability, device security and base operational requirements.
  • Devote time to learning, understanding and continue building out software's in order to increase quality, efficiency and productivity across the firm 

  • Support on executives special projects as needed.  

Data Security:

  • Recommends, writes and maintains firm security polices , standards, processes,
    and procedures for the firm. Including, but not limited to, WISP
  • Ensures security programs are in compliance with relevant laws, regulations and policies to minimize or eliminate risks, and identify and resolve weaknesses that could be exploited for fraud, misuse or theft.
  • Ensures all systems operate in accordance with all financial and legal firm requirements.
  • Assist with HIPPA compliance at the firm.
  • Coordinates with IT provider to assess, implement and monitor IT-related security threats, probability of occurrence and impact on business processes.
  • Communicates risks to firm leadership and recommends appropriate remediation for risk reduction to manageable levels.
  • Serves as the official contact for information security and data privacy issues.
  • Identifies gaps in IT security processes and designs and leads initiatives to close gaps.
  • Conducts investigations of situations in which security may have been compromised and notifies firm leadership.
  • Additional items to add: Cyber liability insurance items, WISP and role for that, SOC/SIM, Incident response plan, disaster recovery plan and testing.

Qualifications:  

  • Bachelor's degree in Business Administration, Management, Communications or related field (or equivalent work experience).  

  • 2-3 years experience in technology and or coordination focused role.  

  • Excellent organizational skills, able to manage multiple tasks and priorities effectively.  

  • Strong attention to detail and problem-solving abilities.  

  • Exceptional verbal and written communication skills.  

  • Excellent in office software, including Microsoft Office Suite and virtual meeting platforms.  

  • Ability to adapt to a fast-paced, dynamic virtual environment with a positive attitude.  

  • A high level of professionalism, integrity, and confidentiality.
